Secretary (Office Automation) - Term Appointment

NOTE:
This is a TEMPORARY appointment (not-to-exceed 1 year). This appointment may be renewed for additional service in accordance with Agency needs for 1 additional year. Temporary positions offer health insurance (if the employee is expected to work at least 130 hours per month for at least 90 days) but do not offer life insurance or retirement benefits and may be terminated at any time before the expiration date. The appointment to a Temporary position does not confer eligibility for promotion or reassignment to other positions or the ability to be non-competitively converted to permanent employment. The major duties include but are not limited to:
Assists in gathering information and preparing in replying to action items; Serves as the subject matter expert in the application, management, and budget control process; Performs research functions, including file or database searches in various publications to extract, summarize, and compile information required for the activities; Provides support work such as the collection, compilation, research, and/or tracking of data and statistical information; Converts manual documents to computerized documents; Develops and manages a continuous monitoring program designed to analyze, evaluate, and improve the efficiency, effectiveness, and productivity of Social Work Service programs; Monitors aggregate data/productivity reports plus administrative activities to determine if data is compliant with VA standards; Processes incoming and outgoing correspondence, reports, memoranda, and other forms of written communication; Edits letters if necessary and composes letters and reports, reviews correspondence for accuracy and completeness, and prepares public presentation outlines; Schedules appointments, coordinates meetings and/or conferences; Attends meetings and follows up on action items with appropriate staff members independently; Reviews and inspects the sections official files, ensures they are in compliance according to VHA Records Control Schedule 01-1; and, Performs all other duties as assigned. This position requires the skills of a qualified typist. In addition to meeting the experience and/or education requirements, you must be able to type at least 40 words per minute. AND In addition to the Typing Proficiency, to qualify for this position at the GS-5 level, you must meet one of the following:
Experience:
You must have at least one (1) full year of specialized experience equivalent to at least the next lower grade level (GS-4) in the Federal Service that has given you the particular knowledge, skills and abilities required to successfully perform the duties of a Secretary (Office Automation), and that is typically in or related to the position to be filled. Specialized experience is experience gained providing secretarial and/or administrative support performing duties such as:
preparing in final format memoranda, letters, meeting notes, and other documents; maintaining logs and files; scheduling appointments, coordinating meetings, and/or scheduling conferences; maintaining calendars and schedules for staff; and experience using automated software applications such as Microsoft Office Suite (Word, Excel, and PowerPoint). NOTE:
Experience must be fully documented on your resume and must include job title, duties, month and year start/end dates AND hours worked per week. OR Education:
Successfully completed four (4) years of education above the high school level in any field for which high school graduation or the equivalent is the normal prerequisite. This education must have been obtained in an accredited business, secretarial or technical school, junior college, college or university. One year of full-time academic study is defined as 30 semester hours, 45 quarter hours, or the equivalent in a college or university, or at least 20 hours of classroom instruction per week for approximately 36 weeks in a business, secretarial, or technical school. Equivalent combinations of successfully completed post-high school education (beyond the second year) and specialized experience, as described above, which meet the total experience requirements for this grade level. This education must have been obtained in an accredited business, secretarial or technical school, junior college, college or university. NOTE:

A full year of work is considered to be 35-40 hours of work per week. All experience listed on your resume must include the month and year start/end dates. The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
