The incumbent provides specialized technical and administrative support to probation officers in a wide range of areas, including assisting with conducting investigations, compiling criminal histories, coordinating with collateral agencies, verifying information, preparing reports, and entering data into PACTS.

23-08Position Description Assists probation officers in compiling criminal histories, conducting inquiries with collateral agencies, collecting verifiable and supportable documentation, and uploading reports in the U.
S.
Clerk of Court's electronic filing system.
Formats, types and edits reports prepared by officers, pursuant to local policy and procedures.
Prepares and processes forms and documents, ensuring consistency and accuracy among reports, memorandums, and related paperwork.
Prepares and updates case files and officers' field documents.
Monitors officers' due dates, and ensures officers' reports are provided to supervisors to meet deadlines.
Tallies officers' completed investigations.
Provides backup to other support specialists in the District.
Screens incoming mail.
Submits required documents to release centers, Bureau of Prisons, Parole Commission, and the U.
S.
Sentencing Commission.
Performs receptionist duties by greeting visitors/clients in person and on the telephone, answering routine questions, and directing visitors/callers to the appropriate person or department.
Assess office consumable supply needs.
Prepares and submits purchase requests to administrative staff.
Ensures custodial officer processes the receiver upon receipt of goods into the office.
Monitors postage expenditures, and refills postage meters.
Prepares officers' travel vouchers and enters them in the financial program for the Western District of Louisiana.
Analyzes caseload information to advise officers on status of offender monthly reports, community service, and fine payments.

High school graduate or equivalent and two years of general clerical experience that indicates the possession of, or the ability to acquire, the particular knowledge and skills needed to perform the duties of the position.
Qualifications:
At least two years progressively responsible clerical or administrative experience requiring the regular and recurring application of clerical procedures that demonstrate the ability to apply a body of rules, regulations, directives, or laws and involve the routine use of specialized terminology and automated software and equipment for word processing, data entry or report generation.
Such experience is commonly encountered in law firms, banking and credit firms, educational institutions, social service organizations, insurance companies, real estate and title offices, and corporate headquarters or human resource/payroll operations.
Candidates must also demonstrate:
A consistent past employment record; Experience in dealing with routine and complex assignments; A demonstrated ability to think through, analyze, and interpret written communications; Ability to prioritize tasks and work assignments; Ability to manage multiple tasks simultaneously; Superior oral and written communication skills; Good typing skills with above-average computer knowledge and skills; A good knowledge of spelling, punctuation, and grammar; Strong interpersonal skills; A professional demeanor and appearance appropriate for a law or professional office environment.
